When necessary for the assessment of your scholarship programme, use the Institution Management Panel to request additional information or documents from an applicant, or send an interview invitation.

Use additional documents or interviews only where needed

Requesting an additional document or holding an interview are additional steps an institution may use during application assessment. They can help clarify information or enable a fuller assessment against programme criteria.

  • Request an additional document where current or clarifying evidence is needed.
  • Ask for information where a document and an applicant’s declaration need clarification.
  • Send an interview invitation where an interview forms part of your pre-defined assessment process.
  • Keep requests limited to information relevant to the application.

Explain clearly what is needed and why

Open the applicant’s record and send the request through the relevant action available in the panel. State which document or clarification is required, why it is needed, and how the applicant should proceed.

  • Name the document and explain its connection to the application.
  • Where appropriate, state that the document should be current and legible.
  • Request only the personal data necessary for assessment.
  • Explain that the applicant should upload a document or respond through the options made available in their bursverenler.org application process.
How documents are submitted

Application documents should not be collected in person. The applicant should act only according to the guidance and options available in their bursverenler.org application screen.

Interview or meeting

Make the purpose and attendance details clear

An interview or meeting can be used to assess the applicant’s fit with the programme and explore application information in more detail. Include the essential details the applicant needs to know.

  • State the date, time and format of the meeting.
  • For an online meeting, share the access information only with the relevant applicant.
  • For an in-person meeting, include the address and any necessary arrival guidance.
  • State any information or document the applicant should prepare.
  • Make clear that an interview alone does not establish entitlement to a scholarship.

Privacy and fairness

Keep communication limited to the programme purpose

Document requests and interview invitations should be used only for the assessment needs of the relevant scholarship programme. Application information and documents must not be shared outside authorised institution administrators.

  • Apply a consistent approach to applicants in comparable situations.
  • Avoid discriminatory, unnecessary or programme-irrelevant questions.
  • Do not transfer applicant documents to people or channels outside the institution’s authorised process.
  • Use interview notes only within the institution’s authorised assessment process.
