Communicate with scholarship applicants through the institution panel

Use the Institution Management Panel to communicate with applicants about the relevant scholarship programme and application process. In-platform communication helps reduce email traffic and keeps process records together.

Scope of communication

Keep messages limited to the application process

Institutions can communicate in the platform with applicants for scholarship programmes they applied to through bursverenler.org. Use messaging for programme-related matters such as assessment, additional information or document requests, interview arrangements and scholar follow-up.

  • Clearly explain the required action or next step.
  • State why any requested information or document is needed.
  • Provide clear attendance details for an interview or meeting.
  • Do not send announcements, offers or requests unrelated to the application or scholarship process.

Sending a message

Write through the correct applicant record

Open the applicant’s record and use the communication area available in the panel. Before sending, confirm that the message is connected to the correct applicant and scholarship programme.

  • Use a short, clear subject.
  • State the action, document or meeting information the applicant needs.
  • Explain that the applicant should act through the options available in their application process.
  • Remember that authorised institution administrators may view messages sent on behalf of the institution.
Shared institution account

Where an institution has more than one authorised administrator, communication with applicants forms part of the institution’s assessment process. Write messages in a clear, professional manner that enables other authorised administrators to follow the process.

Appropriate content

Use clear, proportionate and fair language

Every message to an applicant reflects your institution’s approach to its scholarship programme. Apply a consistent approach to comparable applicants and avoid unclear, misleading or personally judgmental wording.

What can I send a message about?

You may communicate about additional information or documents, document clarification, interview arrangements, necessary application-process actions and programme-related scholar follow-up.

Can I promise a result or scholarship?

Do not give a definitive result or scholarship commitment before the institution’s final decision is complete. Make clear that the application process continues under programme criteria.

Should I use another contact channel?

Where possible, prefer in-platform communication so that correspondence can be followed together with the relevant application record.

Privacy and personal data

Use applicant information only for authorised purposes

Personal data in applicant forms and documents may be used only for the assessment and follow-up of the relevant scholarship programme. Institutions and authorised administrators must not share or use this information outside its intended purpose.

  • Do not repeat unnecessary personal data in messages.
  • Do not request or share sensitive information through insecure channels.
  • Do not share applicant messages, forms or documents with unauthorised people.
  • When requesting technical support, do not include applicant or scholar personal data; describe the technical issue without sensitive information.

Responsibility and support

Use your institution’s process for decisions and technical support for panel issues

bursverenler.org provides technical infrastructure for the institution panel and communication screens. Programme conditions, applicant assessment, result timing and final decisions remain the responsibility of the scholarship-providing institution.
